Understanding my Screening Metrics

The My Intake Specialist Performance dashboard gives you a clear view of your screening work and how you're meeting role expectations. Metrics are based on the screenings you complete and include all applicants you screened in the selected timeframe, whether accepted, denied, or redirected.

This article explains how to read each metric and use the results to improve your screening practice.

Client Personas

These tiles measure your Persona Assignment accuracy, how often approved clients are placed on the right track the first time and how many require later corrections. Accuracy improves with thorough, targeted questioning and a quick check of existing records and presenting needs.

1. 👤Assign at Least 85% of Clients to the Correct Persona (Last 30 Days): This tile shows the percentage of clients you approved in the past 30 days whose initial persona remained unchanged i.e., correct on first assignment.

2. 👤Assign at Least 85% of Clients to the Correct Persona (Last 90 Days): This tile shows the percentage of clients you approved in the past 90 days whose initial persona remained unchanged i.e., correct on first assignment.

Intake Denial Rate

Denial Rate (Balance): Whether your approvals/denials are balanced.

  • Too low may indicate incomplete questioning or approving ineligible applicants, creating safety risks.
  • Too high may indicate overly strict screening or misapplied criteria reducing access for eligible clients.

3. ⛔️My Intake Denial Rate (Last 30 Days): This tile shows how the split between percent of clients denied vs. percent of clients approved in the last 30 days based on the Screening Decision.

4. ⛔️My Intake Denial Rate (Last 90 Days): This tile shows how the split between percent of clients denied vs. percent of clients approved in the last 90 days based on the Screening Decision.

Door Denial Screening

Door Denial Screening gauges how quickly you flag ineligible applicants at the front door and redirect them to more appropriate options so they dont lose time. Consistent daily checks and logging each screen protect campus safety, conserve staff time, and respect the applicants time by avoiding full intakes that wont proceed.

5. 🚪Perform Door Denial Screening Daily (Only ATL, # Performed, Last 30 Days): This tile counts how many applicants received door denial screenings at ATL campuses in the past 30 days.Target: 30+ in 30 days.

6. 🚪Perform Door Denial Screening Daily (Only ATL, # Performed, Last 90 Days): This tile counts how many applicants received door denial screenings at ATL campuses in the past 90 days.Target: 90+ in 90 days.

Screening Duration

Average Screening Time helps you calibrate pace and rigor. If times run too long, you tie up staff, delay other applicants, and extend the workday. If they're too short, you risk missing critical history, creating potential safety issues. In general, expect shorter interviews for denials than for approvals

7. ⏲️My Average Screening Duration (Last 90 Days):  This tile shows  your average screening duration for Approved vs Denied cases over the past 90 days, and highlights the longest screening in each category.
