Recording Client Passes

Passes are given to clients when they are leaving campus, when they need to take MARTA, and, on some campuses, when they need to make a phone call.

Tracking passes are critical to know when a client is off campus or when they've received specific services from us. This article explores how to give each type of pass.

Record an Day Pass

Begin from the client's active Program Engagement.

1. Click Create Service Deliveries.

2. Select Day Pass.

3. Click the Right Arrow.

4. Click Next.

5. Enter the Start Date and Time of the pass.

6. Enter the Length of Time the client will be gone.

Selecting Length of Time will automatically set the End Date and Time.

7. Enter the client's Destination.

Make sure to add as much detail under destination and notes as you can, including location, the purpose, any contact numbers of family or friends that they'll be with.

8. Click Next.

9. Press Click here to view your created records.

10. Click on the Day Pass you created.

The day pass has been created and will appear in pass reports.

If you are at RH, MSH, or TPH, you can email the pass to the client or print a copy for them.

The overnight pass has been created!

Record an Overnight Pass

Begin from the client's active Program Engagement.

1. Click Create Service Deliveries.

2. Select Overnight Pass.

3. Click the Right Arrow.

4. Click Next.

5. Enter the Start Date and Time of the pass.

6. Enter the End Date and Time of the pass.

It is often easier to type the time in rather than select it. Be sure you type am or pm.

7. Enter the client's Destination.

Make sure to add as much detail under destination and notes as you can, including location, where or who they'll be staying with, any contact numbers of family or friends that they'll be staying with.

8. Click Next.

9. Press Click here to view your created records.

10. Click on the Overnight Pass you created.

The overnight pass has been created and will appear in pass reports.

If you are at RH, MSH, or TPH, you can email the pass to the client or print a copy for them.

Record a Work Pass

Begin from the client's active Program Engagement.

1. Click Create Service Deliveries.

2. Select Work Pass.

3. Click the Right Arrow.

4. Click Next.

5. Enter the Start Date and Time of the pass.

6. Enter the Length of Time the client will be gone.

Selecting Length of Time will automatically set the End Date and Time.

7. If the client is working multiple days that week at the same location, click Create Additional Passes.

8. Enter How Many Additional Passes they need for that week.

9. Enter in the Start Date and Time of each additional day.

10. Enter the Length of Time the client will be gone for each additional day.

11. Enter the client's Destination.

Make sure to add as much detail under destination and notes as you can, including location, where or who they'll be staying with, any contact numbers of family or friends that they'll be staying with.

12. Click Next.

13. Press Click here to view your created records.

10. Click on each individual Work Pass you created.

The work passes have been created and will appear in pass reports.

If you are at RH, MSH, or TPH, you can email the passes to the client or print a copy for them.

The overnight pass has been created!

Record a Phone Pass

Begin from the client's active Program Engagement.

1. Click Create Service Deliveries.

2. Select Phone Pass.

3. Click the Right Arrow.

4. Click Next.

5. Enter the Start Date and Time of the pass.

Selecting Start Date and Time will automatically set the End Date and Time to 15 minutes later.

6. Enter the Name of Person to Call.

7. Enter the Number to Call.

8. Click Next.

9. Press Click here to view your created records.

10. Click on each individual Phone Pass you created.

The phone pass has been created and will appear in pass reports.

If you are at RH, MSH, or TPH, you can email the passes to the client or print a copy for them.

All passes you've created will appear in the Service Deliveries section of the client's Program Engagement.

Time to pass out after recording that pass.
