Final training should have been completed by July 1, 2016. Over the course of the month, enhancements and suggestions have been made improving the system. Below are a list of some of the changes that impact users.
Bed: new field - Usability
To enable reporting to more streamlined as well as to identify beds that are temporarily unavailable due to maintenance or beds that have been permanently taken offline (i.e. program redesigns or change of bed types). We removed the Unavailable checkbox and added a new field called Usability. This is a picklist value that identifies the two (at this time) status of a bed - Temporarily Offline or Permanently Unavailable.

Bed Assignment: new field - Family Suite Bed
In order to make beds unavailable when a family of 3 occupies a suite of beds the mother is assigned 2 beds. For reporting purposes, we want to identify single beds that are available but unavailable. This field will enable us to do this. Check the box of one of the two bed assignments to the mother.
Required Field on Bed Assignment: Client Discharge Destination and Reason when Checking a Client out of Bed
Validation rules were put in place to ensure when a check-out date bed assignments is captured by evaluating if the checkout date is not the year 2222.
Discharge reason will be used as a key metric to understand what happens when a client is checked out of a bed.
Metrics and Reporting: Capacity Tracking
New object that takes a snapshot of each previous day's bed assignments. It is crucial that all bed assignments and check outs are captured as real time as possible. Below is a snapshot of the last 7 days and what data is being collected and reported to management.
Contact: new field - Team Assignment Status
A new field with options to establish a queue of people who are pending a team assignment or referral. Once a client chooses help, we want to tell the story of where a client goes next. In some instances, the client may be referred to another agency and we want to be able to track that.
Ideally, workflow rules will establish status. For now, it's a manual update.
MARTA Card: Card Type Required Field and Reason Given
The Type of MARTA card and Reason Given is required when entering the request.
Check-in: new picklist field Health Services
We will be phasing out the CAPN / Mercy Care field to be more specific. Both fields will be visible but after data clean-up the old field will be removed from the layout.

Classes and Group Updates: Print Attendance Button
This button links to a report that will list all of the clients associated with this class or group and their attendance related to the session.

This button found on the contact record, links to a report of all the classes and groups (Topic Series) a client is associated with. Details include instructor, outcome, start and end dates.

Admin: Bed Usability - field tracking
In order to report of beds that show when a bed became temporarily or permanently unusable. Specifically to look back at a month and say - # of beds were unusable during the month of x.

Modified the Bed Availability to use the Usability Field instead of the "Unusable" field.
